  2. Terms and conditions

Terms and conditions

The terms on which a sports club uses NaarDeMatch: trial period, fee, availability, responsibilities and termination.

Updated on 1 September 2026

1. What these terms cover

These terms govern a sports club’s use of NaarDeMatch as a software service. They apply between Louis De Jaeger, Cornelis De Schepperestraat 36, 9810 Nazareth, company number BE0642719921 (“we”, “NaarDeMatch”) and the club that puts an environment on https://naardematch.app into use (“the club”, “you”).

They do not cover the sale of tickets to supporters. That is a contract between the club and the supporter, under the club’s own ticket terms. We are not a party to it and we do not sell tickets ourselves.

The data processing agreement forms an integral part of these terms. For the data we are ourselves the controller of, our privacy policy applies in addition.

These terms apply as soon as the club creates or uses its environment. Where we agree something different in writing, that agreement prevails over this text.

2. Account and access

The club gets its own environment with its own web address. On creation the club appoints one administrator, who can then add staff in the roles the platform provides (club administrator, ticket manager, scanner, finance viewer).

  • The club is responsible for who it grants access to and in which role, and for withdrawing access when someone leaves the club.
  • Accounts are personal. Do not share passwords; create an extra user instead.
  • If the club suspects an account is being misused, it reports this to info@naardematch.be and withdraws the access.

We have technical access to the environment insofar as that is needed to deliver and support the service. That access is role-based and logged; its conditions are set out in the data processing agreement.

3. The service and its availability

NaarDeMatch is an online ticketing and season-pass platform for sports clubs: calendar sync, sales of tickets and season passes, payments through the club’s own Mollie account, tickets in Apple and Google Wallet, scanning at the door (also without internet) and invoicing.

On availability we are straightforward:

  • We deliver the service on a reasonable-efforts basis. We do not promise an uptime percentage and there is no SLA with penalty clauses. A club that needs one agrees that with us separately.
  • Planned maintenance is announced in advance where an interruption is expected, and we schedule it outside the usual match hours where we can.
  • Outages beyond our control — at Mollie, at the federation the calendar comes from, at the hosting provider, or on the network in the sports hall — cannot be guaranteed away by us. That is exactly why scanning at the door deliberately works without an internet connection.
  • We keep developing the platform. Features can change. If we remove a feature the club relies on, we give notice first.

4. Trial period

A new club starts with a 14-day trial period, free and without obligation. During the trial the environment is fully usable, including real sales.

  • Three days before it ends we send a reminder with the invoice and a payment link.
  • If the trial has ended and payment has not been made, the ticket shop goes offline immediately. The club does keep access to the admin so it can still pay. What happens after that is set out in clause 6.
  • If the club pays, the subscription runs for one year from the end of the trial.

There is one trial period per club. It is not meant to be repeated by creating a new environment.

5. Platform fee and invoicing

The fee is €200 per club per year, excluding VAT, and covers unlimited tickets, season passes, scanners and administrators.

  • Invoicing is yearly and in advance, in one invoice per period.
  • We charge no commission per ticket. Mollie’s transaction fees are paid directly to Mollie by the club, under its own agreement with Mollie.
  • Ticket revenue lands directly in the club’s account through its own Mollie account. At no point do we hold money belonging to supporters or to the club.
  • Payment is made through the link in the invoice email or, on request, by bank transfer against an invoice.
  • If the price changes, we say so at least 30 days before the renewal. If the club does not agree, it can terminate as of the end of the current period.

6. Late payment, suspension and deletion

Around 30 days before renewal we send the invoice for the next period together with a reminder. If it stays unpaid, this is what happens.

Stage What happens
Due date passed The ticket shop stays online during a 14-day grace period. The club gets a reminder with a payment link.
After 14 days The ticket shop is suspended and is no longer publicly reachable. The club keeps access to the admin so it can pay.
23 days after suspension Final warning by email, stating the deletion date.
30 days after suspension The environment and its data are permanently deleted.

If the club pays within that window after all, the environment is reactivated and the data is kept.

Two things keep working at all times, suspension included: tickets already sold stay valid and retrievable, and the settlement of payments already in flight is not blocked. An unpaid invoice with us must never cost a supporter their ticket.

After deletion we keep only the invoicing records we are legally required to retain. Deletion is irreversible: export your data before that date (see clause 11).

In case of serious or repeated breaches of these terms — for instance unlawful use, or use that endangers the platform’s operation for other clubs — we can stop the environment. We give notice first, unless immediate action is needed.

7. What the club takes care of

The club remains the organiser of its own events and ticket sales. It is responsible for:

  • Its own ticket terms. The club writes its sales terms and makes them known to supporters before purchase. The platform displays them but does not write them.
  • Its refund, exchange and cancellation policy. The club sets that policy and applies it, including what happens when a match is postponed or called off. The platform provides the buttons; the decision is the club’s.
  • VAT and tax obligations on ticket sales. Prices, rates and the VAT treatment applied are the club’s responsibility.
  • The accuracy of match data — dates, times, venues, capacity and prices — including where it comes in automatically from a federation feed. We pass on what the source delivers and do not check its content.
  • The lawfulness of what it uploads or enters: member lists, photos, logos, texts and subscriber data. The club holds the necessary rights and, where required, a valid legal basis to process that data.
  • Its own Mollie account and the agreement with Mollie, including the identification duties Mollie imposes.
  • Its obligations towards supporters arising from consumer law, including correct price display and pre-purchase information.

The club does not use the platform to distribute unlawful content, to circumvent security, or to load the service in an automated way that hinders other clubs.

8. Personal data

For the data of supporters, subscribers and club staff in its environment, the club is the controller and we are the processor. What we do with that data, what we do not do, and which sub-processors we use is set out in the data processing agreement. It forms an integral part of these terms and binds both parties.

For the data we are ourselves the controller of — visitors to https://naardematch.be, requests and our own communication — the privacy policy applies.

9. Intellectual property

The platform, the software, the design and the documentation remain our property. The club receives a non-exclusive, non-transferable right of use for the duration of the agreement.

What the club brings in itself — club logo, colours, photos, texts, match and ticket data — remains the club’s. We use it only to deliver the service.

We name the club and show its logo as a reference on our website or in our material only with its consent, and remove that mention on simple request.

10. Liability

We are liable for damage resulting from a failure on our part, subject to the following limits:

  • Our liability is limited, per incident and per year, to the platform fee the club paid in the twelve months before the incident.
  • We are not liable for indirect damage: lost profit, missed ticket sales, reputational harm, or loss of data the club could have avoided with a timely export.
  • We are not liable for the consequences of outages at third parties beyond our control (Mollie, the federation, the hosting provider, the on-site network), nor for the club’s decisions on prices, VAT, refunds or refusing entry at the door.
  • These limits do not apply in case of fraud, intent or gross negligence on our part, nor for harm to life or physical integrity, nor where the law prohibits a limitation.

The club indemnifies us against claims from supporters or third parties arising from its own ticket terms, its refund policy, or the data it places on the platform.

11. Termination and data export

The agreement runs per year and renews automatically unless it is terminated.

  • The club terminates by a message to info@naardematch.be, at the latest on the day before renewal. Periods already paid for are not refunded, except where the termination follows from a failure on our part.
  • We can terminate as of the end of a period, with 30 days’ notice, and in the cases of clause 6.
  • On termination the ticket shop goes offline. Tickets already sold for matches still to be played stay valid and retrievable.

Export. For as long as the environment exists, the club exports its own data from the admin: orders and tickets, invoices and sales overviews, in CSV format. Do that before the termination takes effect. If an export fails, request one within 30 days of termination at info@naardematch.be — after that we delete the data in line with the data processing agreement and keep only what the law requires of us.

12. Changes to these terms

If we adapt these terms, the date at the top changes and we notify the club by email. A change that materially restricts its rights takes effect at the earliest 30 days after that notice; if the club does not agree, it can terminate free of charge as of the end of the current period.

13. Governing law and competent courts

Belgian law applies to this agreement.

In case of a dispute we first look for a solution together. If that fails, the courts of the judicial district of East Flanders, Ghent division have jurisdiction.

If a provision of these terms is void, the rest remains in force and that provision is replaced by a valid rule that comes as close as possible to the intended effect.
